Definition of “Studio”
For the purposes of this Agreement, the term “Studio” shall refer to the Competition Director, all instructors, staff members, and any individuals acting on behalf of or under the direction of Victina Productions LLC, doing business as (DBA) Amyclae Dance Academy. Any reference to the “Studio” within this Agreement shall be understood to include all such representatives collectively.
1. Attendance, Absence, and Tardiness Policy
1.1 Maximum Allowable Absences
Each enrolled student is permitted to have a maximum of five (5) absences per class during each of the following terms:
• August through December
• January through May
Absences shall be calculated per individual class in which the student is enrolled.
1.2 Tardiness
Students arriving more than fifteen (15) minutes late to any scheduled class without notice shall be assessed one-half (½) absence for that class.
The Studio reserves the right to deny a student participation in class on a given day if the student arrives excessively late and such participation would disrupt instruction or pose a safety concern. In such cases, the tardiness may be recorded as a full absence at the discretion of Amyclae Dance Academy.
1.3 Excessive Absences and Probation
If a student exceeds five (5) absences per class within a term without:
• Written documentation from a licensed medical provider, or
Prior written approval from the instructor or Competition Director for participation in an outside activity.
The student may be placed on probationary status.
While on probation, the Studio reserves the right to restrict or deny the student’s participation in any upcoming competition, performance, or event.
1.4 Extended Absence Due to Injury
If a student is absent for an extended period due to injury and returns with fewer than six (6) scheduled practices remaining before a competition, the student shall be evaluated by the instructor.
The determination of whether the student may participate in the upcoming competition shall be made at the sole discretion of the instructor, Competition Director, or anyone working under Amyclae Dance Academy, based on the student’s preparedness, safety considerations, and overall readiness to perform.
1.5 No Refund Policy
Tuition, competition fees, costume fees, registration fees, and any other payments made to the Studio are non-refundable and non-transferable, including in cases of absence, tardiness, probation, withdrawal, dismissal, or ineligibility to compete.
No refunds, credits, or reductions in tuition shall be provided for missed classes, rehearsals, competitions, or performances, regardless of reason, except where required by applicable law.
2. Dress Code Policy
2.1 General Requirements
All students are required to adhere to the Studio’s dress code at all times. Proper attire is mandatory for participation in class. The Studio reserves the right to deny participation to any student who is not appropriately dressed in accordance with the policies outlined below.
2.2 Ballet Dress Code
The Ballet dress code is determined by student level and may be obtained in writing from the Studio office.
Ballet students are required to wear:
• The Studio-designated level-specific colored leotard, and
• Appropriate tights as specified by the Studio.
Hair must be secured neatly away from the face and neck (e.g., bun), and proper ballet footwear must be worn.
2.3 Rehearsal Class Dress Code
For all rehearsal classes, students are required to wear all black attire. This includes:
• Black leotard, crop top, or fitted dance top
• Black shorts, leggings, or fitted dance bottoms
• Relative Motion Leggings(Only for Relative Motion Class)
Clothing must be form-fitting and allow instructors to properly assess technique, alignment, and placement.
2.4 Non-Compliance
Students who fail to comply with the dress code may be:
• Asked to observe class rather than participate,
• Required to correct attire before participating, or
• Marked absent at the discretion of Amyclae Dance Academy.
Repeated violations may result in disciplinary action.
3. Social Media and Public Representation Policy
3.1 Professional Conduct
All students and parents/guardians acknowledge that participation in the Studio includes representing the Studio both in person and online. Students are expected to conduct themselves in a professional, respectful, and responsible manner on all social media platforms, including but not limited to Instagram, TikTok, Facebook, YouTube, and similar digital platforms.
Any content posted that references the Studio, instructors, teammates, competitions, rehearsals, or performances must reflect positively on the Studio and its members. Inappropriate, offensive, defamatory, or disruptive content may result in disciplinary action at the discretion of Amyclae Dance Academy.
3.2 Studio Tagging Requirements
When posting dance-related content connected to classes, rehearsals, performances, competitions, choreography, or Studio events, students agree to:
• Tag the Studio’s official social media account.
• Tag the applicable instructor(s) and/or choreographer(s); and
• Include the official hashtag: #amyclaedance.
Proper tagging ensures appropriate credit is given to instructors and promotes the Studio’s brand and visibility.
3.3 Content Standards
Students are permitted to post competition photographs and still images.
However, students are strictly prohibited from posting, sharing, distributing, or live-streaming any competition choreography videos, including full routines or partial segments, without prior written consent from the Competition Director.
Additionally, students may not post content that:
• Misrepresents choreography, Studio branding, or affiliations;
• Contains inappropriate language, imagery, or conduct while wearing Studio apparel or representing the Studio;
• Disparages the Studio, its instructors, staff, or fellow students.
3.4 Enforcement
Failure to comply with this Social Media Policy may result in disciplinary action, including but not limited to probation, removal from performances or competitions, or dismissal from the Studio at the sole discretion of Amyclae Dance Academy.
4. Outside Studio Class Policy
4.1 Studio Exclusivity
Enrollment in the Studio’s competitive program requires commitment to the Studio’s training structure, curriculum, and choreography. To protect the integrity of instruction, competitive routines, and team cohesion, students are prohibited from enrolling in or attending dance classes at any other dance studio without prior written consent from the Studio.
4.2 Written Consent Requirement
Any student seeking to take a class at another dance studio must first obtain written consent from a Studio instructor or the Competition Director. Verbal permission shall not constitute valid authorization.
4.3 Violation and Consequences
Participation in dance classes at another studio without prior written consent shall constitute a material breach of this Agreement.
Such a violation may result in immediate termination from the Studio’s competitive program. Termination under this section shall not entitle the student or parent/guardian to any refund of tuition, fees, or other payments previously made.
5. Competition Punctuality Policy
5.1 Ready Time Requirement
All dancers are required to arrive fully prepared by their designated “ready time” at each competition. “Ready time” shall mean the time communicated by the Studio at which the dancer must be present, dressed, prepared, and available backstage or in the designated meeting area.
5.2 Definition of Tardiness
A dancer who arrives more than five (5) minutes after their assigned ready time shall be considered tardy.
5.3 First Offense
Upon a dancer’s first instance of tardiness under this section, the dancer will receive a formal warning.
5.4 Second Offense
Upon a second instance of tardiness at any competition during the season:
• If the dancer has a solo performance scheduled and has not yet competed the solo at that competition, the dancer shall not be permitted to perform the solo at that competition.
• If the dancer has already competed the solo at that competition, the dancer shall not be permitted to perform the solo at the next scheduled competition.
• If the dancer does not have a solo, the dancer shall not be permitted to compete at the next scheduled competition.
All competition fees, entry fees, and related expenses remain non-refundable and non-transferable, regardless of disqualification under this section.
5.5 Enforcement
If the issue continues, the dancer may be dismissed from the competition team.
6. Withdrawal and Mid-Season Termination Policy
6.1 Commitment to the Team
Enrollment in the Studio’s competitive program constitutes a full-season commitment. By accepting placement on the team, the student and parent/guardian acknowledge and agree to fulfill all financial and participation obligations for the duration of the competitive season.
6.2 Financial Responsibility Upon Withdrawal
In the event a student voluntarily withdraws, resigns, or otherwise quits the competitive program prior to the conclusion of the season, the student and parent/guardian shall remain financially responsible for:
• All tuition, competition fees, costume fees, choreography fees, and any other charges that have been posted to the student’s account as of the effective date of withdrawal; and
• Any outstanding balances owed to the Studio at that time.
All amounts paid prior to withdrawal are non-refundable and non-transferable.
6.3 Restaging Fee
If a student withdraws mid-season and their departure requires the re-staging, re-choreographing, re-spacing, or modification of any group routine, the student and parent/guardian agree to pay a $250.00 restaging fee per affected dance.
The restaging fee shall be due immediately upon withdrawal and is separate from any outstanding tuition or competition fees.
6.4 Effect of Withdrawal
Withdrawal from the competitive program shall result in forfeiture of participation in all remaining competitions, performances, and Studio events for the season.
7. Choreography Ownership and Intellectual Property
7.1 Ownership of Choreography
All choreography, routines, formations, staging, musical edits, and creative works created, set, or taught for the Studio—whether by the Studio Director, instructors, guest choreographers, or any individual engaged by the Studio—shall be and remain the sole and exclusive property of the Studio upon creation.
Such choreography shall be considered the intellectual property of the Studio, regardless of the dancer(s) assigned to perform the work.
7.2 Restrictions on Use
Students are granted a limited, non-transferable right to perform Studio choreography solely for Studio-approved classes, rehearsals, competitions, and performances.
Students may not:
• Teach, transfer, or restage the choreography elsewhere.
• Perform the choreography outside of Studio-sanctioned events.
• Use the choreography for auditions, competitions, showcases, or other performances without prior written consent from the Studio Director.
7.3 Withdrawal or Termination
In the event a student withdraws, resigns, or is terminated from the Studio, the student’s limited right to perform or use the choreography shall immediately terminate.
The former student shall not post, share, distribute, perform, or otherwise use any Studio choreography, in whole or in part, on social media platforms, video platforms, auditions, or any public or private setting.
7.4 Enforcement
Unauthorized use, reproduction, or distribution of Studio choreography shall constitute a material breach of this Agreement and may result in legal action and/or financial liability as permitted by law.
8. Competition Appearance Policy
8.1 Applicability
This Competition Appearance Policy applies to all group competition performances. The requirements set forth in this section do not apply to solo performances unless otherwise specified by the Studio Director.
8.2 Hair Color Standards
Dancers are permitted to dye their hair; however, hair color must remain within natural, base shades. Acceptable colors include, but are not limited to:
• Blonde
• Brown
• Black
• Ginger/Auburn
• Other natural-looking tones
Bright, unnatural, or non-traditional colors—including but not limited to red (vivid tones), purple, blue, green, pink, orange, or similar shades—are strictly prohibited for group competitions.
The Studio reserves the right to determine whether a hair color falls within acceptable standards.
8.3 Nail Appearance
For group competitions, dancers must have either:
• No colored nail polish.
• Clear nail polish only or French tips.
Colored nail polish, acrylic nails, decorative designs, overly long, or embellishments are not permitted for group performances unless prior written approval is granted by a Studio instructor for a specific non-competition event (e.g., prom or similar occasion).
8.4 Non-Compliance
Failure to comply with the Competition Appearance Policy may result in corrective action before performance. If the issue cannot be corrected promptly, the dancer may be withheld from participating in the group performance. No refunds shall be issued in such cases.
9. Code of Ethics
9.1 Student Code of Ethics
All students enrolled in the Studio’s Competitive Team are expected to uphold the highest standards of conduct, discipline, and respect. By participating in the program, each student agrees to the following:
• Arrive to class 5–10 minutes prior to the scheduled start time.
• Wear proper dance attire as required by the Studio.
• Keep hair secured and away from the face.
• Serve as a positive role model for younger dancers.
• Show respect to parents, instructors, and Studio staff at all times.
• Refrain from talking or disrupting class while the instructor is speaking.
• Treat all students, staff, and faculty with politeness and respect.
• Wear the required shoes for each class.
• Respect Studio property and maintain cleanliness by picking up after oneself.
• Demonstrate proper dance etiquette at all times.
• Acknowledge that inappropriate behavior or misconduct may result in removal from class and/or further disciplinary action.
9.2 Parent/Guardian Code of Ethics
Parents and guardians play a vital role in maintaining a positive and respectful environment. By enrolling a student in the Competitive Team, each parent/guardian agrees to:
• Promote teamwork, sportsmanship, and positivity among all dancers.
• Exhibit respectful and professional behavior at the Studio, competitions, and all Studio-related events.
• Refrain from gossip or behavior that may negatively impact dancers, staff, faculty, or other families.
• Show support and encouragement to all dancers, including applauding performances at competitions.
• Respect the decisions and professional judgment of instructors, faculty, guest teachers, and choreographers, including but not limited to choreography, costume decisions, hairstyles, etc.;
• Support the Studio’s staff in their role of making decisions in the best interest of the team as a whole.
• Direct all questions, concerns, and communications to the Studio Office Staff and/or the Studio Director (Mr. TJ).
• Encourage their dancer positively and constructively.
• Acknowledge that their conduct directly impacts their dancer and the Studio environment.
9.3 Enforcement
Any violation of the Code of Ethics by a student or parent/guardian may result in disciplinary action, including but not limited to probation, suspension from performances or competitions, or, in severe cases, termination from the Competitive Team.
10. Payment Policy
10.1 Payment Due Dates
All tuition and fees are due on the first (1st) day of each month. All direct competition fees are due by January 1st. Payments not received by this date shall be considered late.
10.2 Late Fees
A $25.00 late fee will be automatically applied to any outstanding balance on the fifth (5th) day of the month if payment has not been received in full.
10.3 Financial Obligation
By enrolling in the Studio’s Competitive Team, the student and parent/guardian agree to pay all tuition, fees, and expenses as outlined in the “Amyclae Dance Academy Competition Team Packet.” This includes, but is not limited to, tuition, competition fees, costumes, choreography fees, and any additional charges associated with participation.
10.4 Payment Arrangements
If a student or parent/guardian requires alternative payment arrangements or wishes to discuss a payment schedule, they must contact Mrs. Vicky directly at vicky@amyclaedance.com.
Any alternative arrangements must be approved in advance and in writing.
10.5 Non-Payment
Failure to remain current on payments may result in disciplinary action, including but not limited to late fees, probation, suspension from classes, rehearsals, competitions, or removal from the Competitive Team.
11. Injury Liability and Waiver
11.1 Assumption of Risk
Participation in dance classes, rehearsals, competitions, and related physical activities involves inherent risks, including but not limited to bodily injury, strain, illness, or other physical harm. By enrolling in the Studio’s Competitive Team, the student and parent/guardian acknowledge and voluntarily accept all such risks associated with participation.
11.2 Release of Liability
To the fullest extent permitted by law, the student and parent/guardian hereby release, waive, and discharge the Studio, its owners, directors, instructors, staff, and affiliates from any and all liability for injuries, losses, or damages arising out of or related to participation in Studio activities, whether occurring on or off Studio premises, including competitions, performances, and travel-related activities.
11.3 Medical Responsibility
The student and parent/guardian acknowledge that they are solely responsible for any and all medical expenses incurred as a result of injury sustained during participation. The Studio does not provide medical insurance coverage for students.
11.4 Physical Fitness and Participation
The student and parent/guardian certify that the student is physically fit and able to participate in dance activities. It is the responsibility of the parent/guardian to inform the Studio of any existing injuries, medical conditions, or limitations that may affect participation.
11.5 Emergency Medical Treatment
In the event of an emergency, the Studio and its representatives are authorized to seek medical treatment for the student if a parent/guardian cannot be reached. Any medical expenses incurred shall remain the sole responsibility of the parent/guardian.
12. Competition Etiquette Policy
12.1 Professional Representation
All students and parents/guardians are expected to represent the Studio in a professional, respectful, and positive manner at all competitions and related events. This includes appropriate behavior backstage, in the audience, and in all public areas of the venue.
12.2 Conduct Expectations
Students must demonstrate good sportsmanship at all times, including:
• Showing respect to fellow teammates, competitors, instructors, and event staff;
• Maintaining a positive attitude regardless of results;
• Following all rules and guidelines set forth by the Studio and the competition organizers.
Parents/guardians are expected to model appropriate behavior and support all dancers respectfully and encouragingly.
12.3 Recording and Photography Restrictions
To protect the integrity of choreography and comply with competition rules, no student, parent/guardian, or affiliated individual is permitted to record or take photographs of any dances while on stage, including performances by Studio dancers or dancers from other studios.
12.4 Backstage and Audience Etiquette
Students must remain quiet, attentive, and respectful while backstage and in the audience. Disruptive behavior, excessive noise, or failure to follow instructions from Studio staff or competition personnel may result in disciplinary action.
12.5 Enforcement
Failure to comply with this Competition Etiquette Policy may result in disciplinary action, including removal from performances, probation, or further consequences at the sole discretion of Amyclae Dance Academy.
13. Dance Commitment Policy
13.1 Full Routine Commitment
Placement on the Studio’s Competitive Team includes assignment to specific routines at the discretion of Amyclae Dance Academy. By accepting a position on the team, the student commits to participating in all dances in which they are placed.
Students are not permitted to selectively withdraw from or “drop” individual routines once placements have been assigned.
13.2 Financial Disclosure
Students and parents/guardians are responsible for communicating any financial limitations prior to team placement and choreography assignments. If a student can only commit to a limited number of routines due to financial considerations, this must be disclosed to the Studio in advance so appropriate placement decisions can be made.
13.3 Withdrawal from Routines
If a student elects to withdraw from any assigned routine after placements have been finalized, such action shall be treated as a withdrawal from all routines and the Competitive Team as a whole.
13.4 Financial Responsibility
Withdrawal under this section does not relieve the student or parent/guardian of any financial obligations. All fees, including but not limited to tuition, costumes, choreography, and competition-related expenses, remain non-refundable and due in accordance with this Agreement.
13.5 Enforcement
All determinations regarding routine placement, participation, and enforcement of this policy shall be made at the sole discretion of Amyclae Dance Academy.
14. Illness and Sickness Policy
14.1 Health and Safety
The health and safety of all students, staff, and families is a priority of the Studio. Students who are ill must refrain from attending classes, rehearsals, competitions, or any Studio-related activities.
14.2 Attendance While Ill
Students exhibiting symptoms of illness, including but not limited to fever, contagious conditions, or other signs of being unwell, are not permitted to attend the Studio until they are no longer symptomatic.
14.3 Doctor’s Note Requirement
In the event of illness resulting in missed classes or extended absence, the Studio may require a written note from a licensed medical provider confirming the student is cleared to return to physical activity.
14.4 Responsibility to Notify
Parents/guardians are responsible for notifying the Studio of any illness-related absence in a timely manner.
14.5 Enforcement
Failure to comply with this policy, including attending while visibly ill or failing to provide required medical documentation, may result in removal from class or other disciplinary action at the sole discretion of Amyclae Dance Academy.
15. Substance Use Policy
15.1 Prohibited Conduct
The use, possession, distribution, or being under the influence of vaping products, tobacco, drugs (including illegal substances or misuse of prescription medications), marijuana(or cannabis), or alcohol is strictly prohibited for all students at any time while participating in Studio-related activities. This includes, but is not limited to, classes, rehearsals, competitions, performances, and any Studio-sponsored events.
15.2 Applicability
This policy applies to all students while on Studio premises, as well as at off-site locations where the student is representing the Studio, including during competitions and other Studio events.
For parents and guardians, this policy applies only while physically present within Studio premises or the competition itself.
15.3 Representation of the Studio
Students are expected to uphold a standard of conduct that reflects positively on the Studio at all times. Any behavior involving prohibited substances, whether on or off-site during Studio-related activities, shall be considered a serious violation of this Agreement.
15.4 Violation and Consequences
Any violation of this Substance Use Policy shall be considered a material breach of this Agreement and may result in immediate disciplinary action, including but not limited to probation, suspension, removal from performances or competitions, or immediate termination from the Competitive Team, at the sole discretion of Amyclae Dance Academy.
15.5 No Refund
Any disciplinary action taken under this section, including removal or termination, shall not entitle the student or parent/guardian to any refund of tuition, fees, or other payments previously made.
16. Anti-Bullying Policy
16.1 Zero Tolerance Policy
The Studio maintains a zero-tolerance policy for bullying of any kind. All students and parents/guardians are expected to contribute to a safe, respectful, and supportive environment at all times.
16.2 Definition of Bullying
Bullying includes, but is not limited to:
• Verbal harassment, teasing, or intimidation.
• Physical aggression or unwanted physical contact.
• Social exclusion or intentional isolation.
• Cyberbullying, including harmful behavior conducted through social media, messaging platforms, or other digital means.
• Any conduct that negatively impacts another student’s emotional or physical well-being.
16.3 Expectations of Conduct
Students and parents/guardians must treat all teammates, instructors, staff, and peers with respect, kindness, and professionalism at all times, both within the Studio and at all Studio-related events.
16.4 Reporting
Students and parents/guardians are encouraged to report any incidents of bullying to the Studio Director or designated staff member promptly. All reports will be taken seriously and handled appropriately.
16.5 Enforcement
Any student and/or parents/guardians found to have engaged in bullying behavior may be subject to disciplinary action, including but not limited to probation, removal from classes, rehearsals, performances, or competitions, or termination from the Competitive Team, at the sole discretion of Amyclae Dance Academy.
17. Acknowledgment, Agreement, and Binding Commitment
By signing below, the undersigned Student and Parent/Guardian acknowledge that they have read, understand, and agree to abide by all policies, rules, regulations, and financial obligations outlined in this Agreement and in the “Amyclae Dance Academy Competition Team Packet”.
The Student and Parent/Guardian further acknowledge that acceptance onto the Studio’s Competitive Team constitutes a full-season commitment for the upcoming competition season. The Student agrees to uphold the standards of conduct, attendance, professionalism, appearance, exclusivity, and financial responsibility outlined herein.
The Parent/Guardian accepts full financial responsibility for all tuition, fees, and charges associated with participation in the Competitive Team and agrees to comply with all policies contained within this Agreement.
This Agreement shall be binding upon the Student and Parent/Guardian for the duration of the competitive season.
Failure to comply with any provision of this Agreement may result in disciplinary action, including but not limited to probation, removal from performances or competitions, financial penalties, or termination from the Competitive Team at the sole discretion of Amyclae Dance Academy.
